  10. SmartTracker Books 3.0
  11. --------------------------
  12. SmartTracker Books contains a number of features designed to help you 
  13. quickly organize and catalog your book collection or small library.  Know
  14. your book collection value, where to locate your books (including books 
  15. lent out to friends or patrons) or review a multitude of statistical
  16. information about your library.  The following notes will illustrate
  17. SmartTracker Books' flexibility and variety of features designed to 
  18. allow maximum customization and ease of use.  Equipped with the Borland
  19. Database Engine, SmartTracker Books is both fast and powerful.
  20.  
  21. Book Viewer
  22. ----------------
  23. SmartTracker Books features a scrollable Viewer, similar in appearance 
  24. to a spreadsheet layout, which lists the database elements.  Configure the 
  25. viewer to your personal preference by clicking on NAVIGATE/VIEWER.  Select 
  26. only those database items that you want to see in the viewer.  Specify the 
  27. order in which they appear and designate the space to allocate to each 
  28. element.  Expand or shrink the number of items in the viewer by adjusting 
  29. the font size.

  31. New features include the ability to edit data directly from the viewer, 
  32. complete with pull down list boxes and check boxes in a 3-D format.  Change
  33. colors in the viewer or add grid lines to suit personal tastes.   All field
  34. names may be renamed to your liking and will be reflected in the Book 
  35. Viewer as well as throughout the entire program.  All data is now loaded 
  36. into the viewer at once.  Speed buttons are available to move you to the 
  37. beginning or the end of the database.
  38.  
  39. Book Input (Edit) Window 
  40. -----------------------------
  41. Enter a multitude of information about your books in a simple, 
  42. straight-forward fashion.  Check out the RECORDS/ADD menu item or
  43. the speed button.  The input (edit) window is comprised of five tabs.  In 
  44. the first tab you may record the following information : Title, Author,
  45. Publisher, Editor, Book Type, Volume, Issue, Year Published, Edition, 
  46. Pages, Purchase Date, and Where Purchased.

  48. The second tab asks for: Catalog Number, two sub Catalog Numbers, Dewey
  49. Decimal, ISBN, Category, Key Words, Rating and Location.  The third tab
  50. allows you to enter the Cost, Value, Low Market and High Market values.
  51.  
  52. The fourth tab has a check box to mark if the book has been checked out
  53. to someone.  If so, there are fields to record the check out date and
  54. the person whe checked out the book.  The fifth tab allows entry for
  55. the condition and description along with six user definable fields to
  56. use as one sees fit.

  58. If you have similar items to input, save time by using the copy function
  59. (click on EDIT/COPY from the main window) to copy your original entry and 
  60. then edit the few fields that need changing.  The Clear Button allows you 
  61. to clear the input fields and sets all values to the initial default values. 
  62. By clicking EDIT/DELETE from the main window you may delete an entry.  
  63.  
  64. Several fields have drop down list boxes that contain a list of all previous 
  65. entries.  This makes repetitive entries a snap by just choosing a value.  You
  66. can now browse the database while in the input window.

  68. The standard windows clipboard copy and paste functions are now available 
  69. for all fields. 
  70.  
  71. Searches
  72. --------
  73. SmartTracker Books contains powerful search facilities.  The Search
  74. Window allows you to enter specific search criteria to locate a set of 
  75. items.  You may select to search on one field or multiple fields.  
  76. Alternatively, you may choose to search for different items in the same 
  77. field, such as looking for all Paperback and Hardback book types.  You can 
  78. search for numeric and date values, locating items less than, greater
  79. than, less than "x" but greater than "y", or equal to the number or 
  80. date entered.  For example, you can readily find books purchased after
  81. June 22, 1994 or find all books with a purchase price of between $10 
  82. and $25.  All matching search items will be placed into the Book
  83. Viewer.  Check out NAVIGATE/ SEARCH from the main menu.

  85. The Search and Replace function allows you to replace all occurrences of
  86. a field value with another value.  Simply enter the data to search for 
  87. and type in the replacement text.  Optionally have the program confirm 
  88. the replacement before it occurs.  Click on TOOLS/ SEARCH & REPLACE from
  89. the main menu.
  90.  
  91. SmartTracker Books can assist you in locating records by searching on
  92. one field.   Find this from the main menu, NAVIGATE/LOCATE.  Choose a field,
  93. specify if the search value is case sensitive and an exact or partial match.
  94. Next, type in the value you are looking for.  The first record found 
  95. matching the criteria supplied will be highlighted in the Main Window
  96. Viewer.   Click on "LOCATE NEXT" to find the next record matching the
  97. criteria given.

  99. Sorting
  100. -------
  101. You can choose the order in which your data is displayed and used throughout
  102. the program.  You can choose any field to sort on as the primary sort.  
  103. SmartTracker Books now allows you to perform second, third and fourth 
  104. level sorts.  If an identical field exists in the primary sort, then the 
  105. items are sorted by the secondary sort, and so on, through the fourth sort.
  106. Check out the OPTIONS/SORT ORDER menu item.
  107.  
  108. Data will be displayed in the Main Window Viewer based on the sort order
  109. defined.  Reports and Exporting Data also rely on the sort order.
  110.   
  111. Backing Up Data
  112. ---------------
  113. SmartTracker Books offers a built in mechanism for backing up files
  114. used by the program.  Select FILE/BACK UP DATA from the menu list. You 
  115. may choose to back up three different types of data.  These are the actual
  116. data files, maintainable lists and user defined reports.  Simply select 
  117. what you would like to back up, then choose the drive and directory where
  118. the data is to be saved.   Click the "Start Backup" button to begin the 
  119. operation.

  121. Another alternative for backing up data files is to use the Export and
  122. Import commands.  You may export your entire data and then import it. 
  123. You may wish to do this if your database is so large that it cannot be
  124. backed up onto a floppy disk.  An ASCII Delimited Export File will 
  125. normally take considerably less space than the actual database file.
  126.  
  127. Multiple Databases
  128. ------------------
  129. SmartTracker Books will support virtually an unlimited number of
  130. databases, basically confined by your hard disk space.  When restarting
  131. the program, the last database used is automatically loaded.  The 
  132. previous five databases open will be displayed at the bottom of the
  133. FILE menu command.  The name of the currently opened database is 
  134. always shown in the caption bar of the Main Window.  
  135.  
  136. Customization
  137. -------------
  138. Practically all aspects of the program can be configured and customized
  139. to the user's own preferences.  All font styles (on screen and reports)
  140. can be changed.  This allows support for foreign languages, as some 
  141. languages require special fonts and characters.  Field names may also
  142. be renamed to ones own preference or to provide foreign language 
  143. equivalents.  The screen colors are all completely changeable to one's
  144. own tastes.

  146. You may choose from three options for screen navigation, the use of
  147. speed buttons, lettered buttons or none at all.  Other options include
  148. determining screen size, date and numeric formats, and making changes 
  149. to the viewer and reports as described previously.  Select OPTIONS from
  150. the Main Window.
  151.  
  152. Networking
  153. ----------
  154. SmartTracker Books will support usage over a network.   Multiple users
  155. may have the same database open simultaneously and all may make updates to
  156. the database.  If a change is made by one person, that change will show up
  157. for the other users after they have "Refreshed" the database.  Refreshing 
  158. is accomplished by clicking the REFRESH speed button, by scrolling the 
  159. Main Window Viewer or by adding, editing or deleting records.
  160.  
  161. Export/Import Functions
  162. -----------------------
  163. You may choose to export your data to an ASCII Delimited File or to a
  164. Dbase Compatible File.  Select RECORDS/EXPORT from the menu items.  You
  165. can rearrange the order in which the fields are exported for each record.
  166. Just highlight the field you want to change the order on and use the "UP"
  167. and "DOWN" buttons to move it anywhere in the list.  The "DEFAULT" button
  168. will set the field order back to the program default order.  If a search 
  169. is currently active, you may optionally export just the data that is 
  170. available as a result of the search.  You may still export the entire
  171. database even if a search is currently active.
  172.  
  173. Similarly you may import data from an ASCII Delimited File or a Dbase
  174. Compatible File.  Check out RECORDS/IMPORT from the main menu.  You can
  175. align the fields that are to be imported with the database fields of the
  176. program.  Line up the fields however you like using the "UP" and "DOWN" 
  177. buttons in the Field Alignment area.  If you wish to ignore one of the 
  178. import fields (not have it imported) then set the corresponding "USE" 
  179. area to "NO".  Setting this to "YES" means the field will be used for 
  180. importing.
  181.  
  182. Reports
  183. -------
  184. SmartTracker Books comes with eight pre-defined reports for immediate
  185. use.  These layouts may be copied, modified, used or deleted.  Look at 
  186. NAVIGATE/REPORTS to see all reporting options.
  187.  
  188. Design your own report layouts.  Practically  every aspect of the report
  189. process is user configurable.  Select reports with widths of  90, 120 or
  190. 150 characters.  You may choose different fonts for the report titles, 
  191. column headers, report body and footnotes.  Select any font that has been
  192. loaded onto your computer.   Up to three report headers may be assigned 
  193. to appear at the top of each page, to use for name, address, phone number
  194. or for whatever seems appropriate.

  196. You can select only those fields you would like to print on the report.
  197. Choose the width of the fields and the order in which the fields appear. 
  198.  
  199. The reports may be grouped into sections based on the primary sort order
  200. or on the primary and secondary sort order .  Column Headers, horizontal
  201. and vertical lines are optional for some report layouts (those in a 
  202. spreadsheet style).  Set the top, bottom, and side margins to your own
  203. specifications. Also optionally include the current date at the bottom
  204. of each page.

  206. The reports may be viewed on screen before printing.  Send the report to 
  207. the printer or an ASCII text file to save on disk.  Print one page, a range
  208. of pages or the entire report.                          
  209.  
  210. System Requirements
  211. -------------------
  212. SmartTracker Books is available in both 16 bit (Windows 3.1) and 
  213. 32 bit (Windows 95/NT) versions.  Requires a minium of 4MB Ram, 5MB of
  214. disk space and a VGA Monitor
